QuickBooks export error code 3140

Recently we have begun experiencing this error message when we export to QuickBooks:

WARNING: Error while exporting to QuickBooks. It's possible that partial data was exported.

QB Error Code: "3140"
QB Error Message: "There is an invalid reference to QuickBooks Accounts "Sales" in the General Journal credit line. QuickBooks error message: Invalid argument. The specified record does not exist in the list."

To our knowledge, we haven't changed anything in Retail Edge or QuickBooks. Nothing in Retail Edge is set up to use an account called "Sales", as far as we can see.

It doesn't happen every day, so I'm not sure what triggers it, or what impact it has on the export.

Any ideas?

Hi there,

I got one email from tech support, and tried following up a couple times, but I haven't heard back since. Any news?

I'm not sure how to trouble shoot, and my numbers are diverging between Retail Edge and QuickBooks, so something is screwy.

We tracked down the cause of the QuickBooks 3140 error.

It was the sale of a SKU 0 item for freight.

If you enter 0 as the stock number on a sale, you get a special item that allows you to enter your own price.

Apparently when this item gets exported, it needs a QuickBook account called "Sales". We had set up our QuickBooks export for all departments to use a QuickBook account called "Gross Sales".

We are going to avoid using the 0 SKU feature from now on. It's too black magic for us.

P.S. This error was causing our QuickBooks export to be incomplete. The sales receipts got posted, but not the general journal entries. It would be nice if the export either worked or failed, rather than partially working. We now have to go in manually to delete the partially exported data and then re-export from Retail Edge.

Fred,

Thank you for your patience with this matter. We think we have found the source of the error and have fixed it for the next release (probably 8.0.17).

In the future, non-entered sales (the "0", black magic sales you refer to) will go over to QuickBooks as the default "Sales Income Account" (as defined in the Tools / Options / Locations QuickBooks Tab).
