I need to manually delete a customer...

by Little Mountain » Wed Feb 06, 2008 1:23 pm

One of our customers has two accounts, for whatever reason. I need to wipe out the following of one name... (name, address, total due, etc) all info from the database so it NEVER shows up at anytime anymore and they just have one account only.

I tried to delete their account, but it still shows up with a balance.
Is there a way to manually delete accounts, or have full control of balances, etc?

You don't want to delete the customer. You want to merge the customers.

You can do this by choosing Merge Customer from the Tools|Global Change|Customer menu item. You will be prompted for an old Customer I and a New Customer ID. All the information (sales, etc.) for the old will be merged with the New.

I tried that, but I believe I have already deleted the one we didn't want, HOWEVER, on reports and monthly statements we still get their info, yet searching reveals nothing.

We took a loss on their account just to get this cleared up, among the confusing of starting this they had 2-3 accounts made for their name - and it got confusing as to which account was being charged.

Is there a register file I can open and edit? Like, main hardware type of stuff...?

There is no file you can go into and edit. The merge function will change the sales, order, house charge, etc. from the FROM customer and merge it into the TO customer. After this merge you should not have any information about the FROM customer. However, if you have 2 or 3 accounts made for "one" customer, you would need to run this utility for each duplicate.

If you did a manual delete of a customer, the sales history won't be moved into the correct customer's history. A deletion is simply that a deletion. If you send a backup to technical support and specify which customer you are having trouble with and they can look into this for you. Any database fix that we might have to perform to get your customers back in order would have to be charged.

You can have this done for a one time support fee of $30/ 15 minute increment.

On another note it does sound like you are having a number of issues that could be resolved by getting on a technical support plan. Although this would not cover this existing issue, it is only $45/month for a minimum of 3 months of support and you would have the added benefit of the after hours and weekend emergency support. Obviously this is optional.
