    Need "Inactive" checkbox for Clerks

    by DAVE » Wed Feb 25, 2009 7:32 pm

We need to be able to mark clerks no longer working "inactive", ala Quickbooks Vendor lists. (It's my understanding that if we just delete them, we lose their history, i.e. when looking back on sales in Sales Manager and wanting to know who assisted a customer.) Now that you have added some features that use a clerk pull down list (To Do List), it's silly to have to scroll thru lots of names that are history. We don't even remember some of the people who's name's we see there!

Deleting clerks should be OK and you should not lose the associated clerk history. In earlier versions, such as 7.5, this was an issue but not with 8.0 and up.

Incidentally, the same thing goes for deleting inventory items. Deleting an item, no longer removes its sales or receiving history.

Does that mean that the deleted clerk would change to ~unassigned~ ?

My understanding is that the Sales Manager will show the clerk as "~unassigned~" but all the sales reports will include the deleted clerk information.

We have a task in our Todo list to change the sales Manager so that it can display the deleted clerk correctly. This should probably make it into the next release.

Well, wish I had known that before I went ahead and deleted all the old clerks. It's in sale manager that we find that info most useful, not really much in the reports.
But the other drawback to deleting the clerk info is the loss of the contact information and any notes that were made during the clerks' employment. From a business record keeping point of view, it's not the best practice. We have the data elsewhere (accounting), but still, it would be better to be able to just check them "inactive", and then have a "show inactive" checkbox or option to gain access to that data if necessary.
