    Hello,

    We are having a problem with prices "mysteriously" changing. For example: Recently 4/30/09 I added a new item from (Mc Kinleyville) one of our 3 store locations. I entered all of the correct cost & pricing data necessary and saved the new item. The purchase order for this item was made the day before (4/29/09) the item was added to the system. They didn't know the cost at the time of creating the purchase order so they put $0.13 in until I got to it. So far only one store (Eureka)has ordered and received the item. 2 units were received on 5/06/09.

    Today It was discovered that the price had changed to 0.13 when someone at the point of sale noticed it.

    My questions are:
    Would the pricing all change to that $0.13 when the purchase order was received?
    Is it more likely that someone manually edited the item and Changed the pricing info?

    I did notice that the Last Action Date on the item was 5/10/09 is there a way to look in the history somewhere to see what that action was?

    We would be happy to look into your problem as you are on a service plan and we can do this for you as a part of the service. We keep a log of every change to the files and so should be able to see who did what when. Just give us a call.

    As a little background, this is how RetailEdge works.

    RetailEdge creates a new item in the inventory with 0 quantity when you create a new item. This allows you to create the item on a purchase order and then use the item for another pre-season order or pre-sell an item before it comes in.

    When the new item is created on a PO, the price and cost of the item is used to create the new item when it is saved on the PO. If you have made a mistake, then you need to correct this mistake on the PO and if you think you are going to be using this item on another PO or selling the item, change the cost/price/average cost in the Inventory.

    POs do not adjust the cost of an item once it has been created until the items on the PO have been received and updated. This is so that if I am creating a PO for an item that I have received before you don't change the costs and prices until the items are actually in the store. In addition the receiving/updating mechanism adjusts average costs. So if I have 1 item in inventory at $1.00 cost and receive another 1 at $2.00 cost you will have 2 at an average cost of $1.50 at the end of this process. This is important for cost of sale calculations and inventory valuation.

    In your scenario below, it is hard to tell what is going on. But take a look at it with these things in mind and see if you can see what happened. But we can look at it in more detail if you would like.

    We have three stores.

    Any time there is a price or cost update I have to change it so that all three stores stay the same.

    From your explanation i understand now that retail edge relies on the POs to update price & cost and that a PO received with the old pricing will over write any costs or prices changed from the item manager.

    All of the pricing and cost updates are done by one person (me)in the accounting department. I never place orders. The Store Managers do their own ordering but they never see the invoices.

    So any time a cost or price change happens I have to go through all open POs from all locations and change the pricing/cost at least 3 times sometimes more because some vendors we order from twice a week. If i dont change the cost/price also in the item manager and someone creates a PO after I update the other POs this will mess up my price change too.
    In addition to this I also update shelf tags anytime we change a price and have to deliver them to the other stores the day I do the price change.

    It is problematic when 100's of costs & prices are being updated because there's no "in between" place to prepare a change before it is live in the system. It is frustrating that there's not a master place to change cost & price from that will automatically change it everywhere within the system. I cant prepare shelf tags before hand and get them to the stores before the change and I also can't update any more items than I can complete in 1.5hrs or so before the stores open. Being set up this way doesn't give people who use this system any room to prepare for a big change, like a sale. I really hope you guys program these capabilities soon.

    My wish list:
    1. to be able to prepare for a change before I actually change the prices. Make a "go Live" button to press that will activate the hours of work it takes to do these kinds of updates. Also to be able to print out shelf tags with the new price before the prices change in the system.
    2. Have a the capability to change prices on a group of items and then be able to change it back later. For example a seasonal sale that runs for two weeks and then is automatically set to go back to the regular price on a certain date.
    3.A search engine that is more sophisticated. If one little spelling mistake is made this search engine doesn't even come up with spellings that are close it just comes back with nothing
