    UPC Bugs

    by CourtneyNHS » Mon Jun 22, 2009 7:27 pm

    Hello,

Recently one of our cashiers was ringing up an item by the manufacturers UPC code. When he scanned the item a different size and different priced item came up. I went searching through the system to try to find an error in the upc code entries but could find none. It seems to be an old price on a discontinued size of a product. I think the old item was merged into the new size or maybe deleted manually from the system. How can I fix this old data that's resurfacing. Would a Purge solve this?

    Baffled,
    Courtney

    Courtney,

    A few questions for you:

    1. Are you using the UPCs as stock numbers? Or are you using the UPC fields and creating your own stock number?
    2. Is there another item that would match the item you are scanning in inventory or was the deleted item the only one matching the scanned barcode?
    3. What version are you running?

Hard to tell what is going on without seeing your data, however, my guess is what you are seeing is a feature that is built into RetailEdge and not a bug. The RetailEdge Sales screen is pretty sophisticated and works as follows:

When entering an item in the Find Item box on the Sales Screen, RetailEdge will automatically search the inventory fields in the following order to find the item:

    1. Item ID (RetailEdge price label barcode).
    2. Stock Number.
    3. Current Find By Criteria as listed in the Find By box.
    4. List ID
    5. UPC1
    6. UPC2
    7. Alias ID
    8. Package ID

If an exact match is found in any of the above listed fields, then RetailEdge will stop the search and add the item to the Sales Screen. If an exact match is not found, RetailEdge will go to the Find By criteria listed in Find By box and perform a partial match search. Partial searches look for text matches from the beginning of the inventory field. If the Interior Pattern Match checkbox on the Find Item(s) screen is checked then RetailEdge will search for the Look For text in any part of the inventory field.

This means you have the flexibility to lookup or enter items into the Sales Screen by scanning or entering any of the criteria above

In addition, if RetailEdge finds nothing in the active/undeleted items and finds only one matching item in your deleted/inactive items it will pull it into the sales screen. This allows clerks to sell items that still are on the shelves and tagged that might have been inadvertently deleted.

To answer the Questions you asked me,

    1. We make our own stock Numbers and i enter the UPC in the UPC1 cell in the misc tab of the item manager.

2.The deleted item was a similar item to the Actual item being rung up. I don't know if the UPC codes were identical because I couldn't get into the item manager for the deleted item. I double checked the active items barcode and found that there was a second UPC code in the UPC2 cell. I deleted that record. Leaving only the UPC1 field with the current barcode of the active item. That may have been the problem.

    3.We are running version 8.1.6

I found this list helpful to my understanding of the system:

"When entering an item in the Find Item box on the Sales Screen, RetailEdge will automatically search the inventory fields in the following order to find the item:

    1. Item ID (RetailEdge price label barcode).
    2. Stock Number.
    3. Current Find By Criteria as listed in the Find By box.
    4. List ID
    5. UPC1
    6. UPC2
    7. Alias ID
    8. Package ID "

    Thanks,
    CK
