    Update reversal?

    by glowfish » Fri Mar 11, 2016 12:02 pm

    Good Morning,
It looks like our inventory for a PO was updated twice. 7/21 and 7/25 so many items have now been added twice. Is there a way to reverse an update? Or is there a way to see which items all at once were updated? A report of sorts? I have to change multiple items in our inventory now but am not sure where to start.
    Thank you,
    Vanessa

Also, is there a way to see who did the update? Not sure how to search for actions that were made, any changes.
    Thanks

There is no way for you to determine who did an update. But if you are concerned, we do have an audit log that tracks all actions in RetailEdge and we can go in behind the scenes to see who did what. We keep this audit log for cases where there might be questions about who is doing what in the program. If you are really concerned you can turn on security and keep certain operations only for certain clerks.

If you need to reverse a PO receiving session the best way to do it is to:

Receive the PO again but when you are asked how many to receive today, just reverse the quantities and make them negatives. Negative receiving and updating will remove the items from your inventory and put them back on the PO.

More of a question is how this happened. It looks like you might have some cross editing going on. Since multi-location and Island synchronization allow you to work disconnected, there are some operations you need to be really careful about controlling either through procedures or security settings.

The way RetailEdge's synchronization works is the last edit wins. Most of the time this just causes overwriting of information when you are editing an item or a customer, when two people in two different locations make a change at the same time. There are controls and checks on this in the databases but there are small time slices where this can occur. Sometimes with funny results. One customer merged his business with another similar business. And the two owners were not communicating well. One owner did not like the stock numbers being used by the other owner. So they were each changing the data and not telling the other. They ultimately called us saying the item's stock numbers were magically reverting. It took some time to sort out, but ultimately good communication would have solved the problem.

In the case of an update however and if two locations or Islands are not communicating for awhile, the store can update and the Island can update and since RetailEdge has no knowledge of what is happening on either location then you can see double updating. This is where security and communication play a huge role. The beauty of Island and multi-location synchronization is that you can work disconnected so that if the internet is not available or slow you can continue to run your business. The bane of synchronization is that you can work disconnected.

    Hope that helps.

I like to create POs on the island because I can do this after hours. If I am only receiving them on the main I am not sure why they would be double received. The receiving is happening at different days. I am wondering if I turn my island on from being off and it all of a sudden re receives/updates? If there are any tricks in security or communication that I could relay to my team that would be awesome. It is a pain. I like the idea of pulling back up the PO and receiving it as negative values. Great idea!
    Thanks

There is no reason why disconnected and then getting connected would double your receiving. But if for instance, you added the items to receiving, and then disconnected, then that leaves you open for any updating in the store and on the Island to double up the updating.

The beauty of the island is that you can work from anywhere, but you should coordinate with the store if you are doing this operation because if they update and your items are in receiving and you also update you can get this doubling effect.

That is a good idea to turn off the island while you are doing these operations so that data is not transferred over until you are finished.
